How to Reduce Salesforce File Storage Costs Without Losing Visibility
When your Salesforce org hits storage limits, the standard options are pay more or delete files. There's a third option, and it's better than either.
The Problem Every Growing Salesforce Org Hits
At some point in the growth of every Salesforce-native organisation, the same conversation happens. An admin opens the storage usage dashboard and sees the bar ticking toward its limit. Files and attachments — site photos, inspection reports, contracts, compliance certificates — have accumulated over years of operations, and now they're pushing the org toward a storage ceiling.
Salesforce's native file storage (just like most enterprise CRM/EAM/Workflow platforms) is expensive. The options Salesforce presents when you hit the limit are unappealing: purchase additional storage at a significant premium, or start deleting files that your operations, compliance obligations, or customers may still need.
Neither option is right. There's a third path.
The Three Options (and why two of them are wrong)
When a Salesforce org approaches its storage limit, most teams consider three approaches. Only one of them actually solves the problem.
What "visibility preserved" actually means
The key concern with moving files out of Salesforce is that users lose access to them from within their normal workflow. In practice, most Salesforce users never think about where a file is stored. They open the Account, navigate to the Files tab, and expect everything to be there. If archiving breaks that experience, it creates operational disruption regardless of the cost savings.
Intelligent file archiving solves this by maintaining the link between the file and the Salesforce record, even after the file has physically moved to external storage. From the user's perspective, nothing changes. The file appears on the record. It opens when clicked. It's searchable. The only thing that has changed is where the bytes live.
-
Files still appear on the Salesforce record — Account, Case, Asset, Opportunity, Work Order.
-
One-click access still works — files open from external storage seamlessly, with no extra steps.
-
Search still works — files remain findable by content, metadata, and record relationships.
-
AI tools still see them — archived files retain Salesforce object context, so AI workflows have full coverage.
Proven at scale: Fisher & Paykel
Fisher & Paykel, a global leader in home innovation, faced exactly this challenge. As a Salesforce-native organisation generating immense volumes of unstructured data daily (from high-resolution installation imagery to complex service reports) the cost and operational burden of managing files within Salesforce had become significant.
Dcisive deployed its Unstructured Data Intelligence Layer, offloading media to AWS S3 while maintaining a live, searchable index in Salesforce. Every file remained visible and accessible to users without any change to their workflow.
What to look for in a Salesforce file archiving solution
Not all Salesforce archiving tools are equal. Use this checklist when evaluating options.
The compounding benefit: AI readiness
There is a benefit to intelligent Salesforce file archiving that goes beyond the immediate storage reduction, and it matters increasingly as organisations deploy AI-assisted workflows.
When files are archived with their full Salesforce object context intact, they become part of the structured data graph that AI tools can navigate. An AI agent asked to summarise a customer account can retrieve archived contracts, case attachments, and field photos alongside the structured CRM data, because the archived files carry the same object IDs and relationship links as if they were still natively stored.
This is the difference between archiving and intelligent archiving. The first reduces your storage bill. The second reduces your storage bill and extends your AI coverage.
Getting started
For most Salesforce organisations, the right starting point is understanding two things: the file estate itself (how many files are stored and what's taking up the most space) and how the business actually uses those files, what context matters, how teams find and reference them, and what needs to stay accessible. Dcisive works with you to establish that picture before any archiving begins, so files are organised and enriched in a way that reflects how your business actually operates.
